The purpose of the role will be to assist in the management of Admirals IT Software Assets encompassing the end to end lifecycle, whilst supporting the management of our compliance obligations across the estate in association with Admirals ITAM function. This role will ensure we meet the evolving software demands of the business in a cost effective and timely manner.

To work closely with all stakeholders assisting the asset Manager in formulating the asset lifecycle that includes the goals of each business function into a single lifecycle that uses recognised best practices and frameworks.

To provide specialist advise and support in the management of software assets of both in-house and external solutions including cloud technologies.

The role will ensure asset lifecycles are compliant with the strategic aims of the organisation, are fit-for-purpose are complaint with Licensing terms and conditions and managed to a high standard.
 

Areas of responsibility:

  • Be responsible for supporting an enterprise wide ITAM / Software Asset Management platform.
  • Manage Product Use Rights, license allowances, and contractual entitlements for software products and manufacturers.
  • Be the licencing subject matter expert for project-based activities.
  • Work with stake holders to ensure the Software is aligned to the group Strategic road map, deliver effective Cloud software analytics and reporting across the Cloud business, leveraging Analytics and tools.
  • Ensure key performance indicators, SLA's, are adhered too.
  • Champion and follow all company policies and procedures to ensure data integrity.
  • Ensure that all new technology initiatives consider and implement appropriate licencing practices and models.
  • Develop core operational dashboards to help teams drive operational rigor and manage performance in line with Compliance.
  • Implement organisational level dashboards including forecasting, planning, deployment, of all Assets across Cloud/Infrastructure & Operations including budgetary considerations.
  • Ensure all changes to vendor agreements are clearly understood and accurately reflected in organisational usage/compliance.
  • Manage and maintain our Software Portfolio & Software catalogue.
  • Provide expertise in ensuring that software license contracts and agreements, software licenses and software installations and associated linkages are reflected correctly in the Software Asset Management toolset.
  • Review and report software compliance measures based on existing licensing agreements and clearly defined matrix in line with lifecycles management.
  • Work with Software vendors to renew and true up existing licensing agreements.
  • Identify, report and mitigate any risks associated with software usage to ensure audit readiness.
  • Provide support to Group Procurement and business service owners around software renewals and agreements.
  • Be responsible for the promotion of Asset Management best practices, offering support where needed to ensure that the approaches are well understood and easily implemented.
  • Act as a point of referral as a subject matter expert for the department and business as required.
  • Maintain an ongoing transparent and continuously updated inventory of SaaS instances accessible to Business functions and key stake holders..
  • Create documentation around evaluation, integration and governance within IT best practices for application adoption, license provisioning, security, privacy, and user on- and off-boarding.
  • Undertake any other activities in line with Asset Management function as requested by the IT Asset Manager.
     

Saas & Cloud technologies.

  • Evaluate and monitors SaaS application inventory across the organisation for optimal cost-effectiveness, including the elimination of application and version controls.
  • Manage SaaS application life cycles including the creation of a SaaS renewal calendar; build a documented, collaborative evaluation process; and develop action plans for upcoming renewal dates
  • Develops ongoing partnerships with IT, *sourcing, vendor management and individual department managers to support digital transformation and increase organisational ROI, effectiveness and agility.
  • Help stakeholders find the most effective tools to increase business effectiveness, in collaboration with architects.
  • work with Finance and IT Operational departments to ensure cloud licencing ensuring consumption is in line with licencing model and budget.
  • establish visibility of key cloud investments, checking consumption is in line with costs management.
     

Essential

  • Experience of working within a busy IT Department.
  • In depth knowledge of software licensing terms and conditions including maintenance and support contracts.
  • Meticulous attention to detail & record keeping.
  • Able to drive process & procedure forward to ensure accountability.
  • Good decision making.
  • Clear and concise communication skills.
  • Ensure that all communication is clear and appropriate for its intended audience.
  • Able to communicate with employees of all levels including senior management.
  • Team Worker & Dedication.
  • Experience in managing Microsoft Enterprise Contracts and Microsoft Volume License Management portal and other Cloud technologies/Services.
  • Experience in managing licensing for key strategic vendors such as Oracle, VMWare, Microsoft, SAS, IBM.
  • Must have a proven track record in providing audit defence remediation and negotiation.

  • Experience of using Snow or a similar Software Asset Management tool.
  • Experience of software licensing portals.
  • Experience of dealing with Large Account Resellers (LAR).
     

Desirable

  • ITIL Foundation v4.
  • Familiarity with IT Asset Management discipline both Software & Hardware.
  • Experience of working with an inventory and software installation tool such as Landesk.
  • Solid understanding of EUC hardware technologies.
